Filtering and show all

 To view a subset of the data, apply a filter. 

There are several ways to filter your data:

  • You can create one or more dimensions or measure filters. For example, the Year is equal to the value of 2020.

  • You can create a contextual TopN filter to filter fields by criteria or by the top or bottom values. Use the Plus button to add additional field criteria to the filter.

  • You can also right-click an element in a chart and choose to keep or exclude certain measures or dimensions.

  • When creating a filter, you can select multiple filter conditions or select all and quickly exclude a single item.

By default, the filter options are to the right of the chart area. Move them to a different location by dragging the filter title. Use the Filters menu to specify whether filters are displayed or hidden as part of a workspace.

Note

You cannot modify the criteria in simple and complex filters, such as Contextual TopN, when editing is not allowed from the Sheet and Filter Widget

Filtering dimension or measure

To filter an entire dimension or measure, perform the following steps: 

  1. From the Toolbox, select Workbooks, then select a workbook and worksheet.

  2. Select Design if needed. 

  3. Right-click one of the values in the chart and choose Filter.

  4. Select Keep Only or Exclude and select which dimension or measure you want to keep or exclude.

Removing filter from chart

To remove a filter from a chart, perform the following steps: 

  1. From the Toolbox, select Workbooks, then choose a workbook and worksheet.

  2. Click the Minus icon next to the filter to remove the filter.

Filter indicators

When you apply a filter to the data, the data indicator displays showing you how much data is viewed in the graph. You can click or drag within the indicator to look at a selection of other data in your chart. The data indicator changes to reflect the type of chart you are viewing.

The indicator shown in the figure below shows that only a subset of the data in a bar chart is currently viewable. Click the Show all icon below the data indicator to change the graph to show all of the data. When you see the triangle warning indicator, apply filters to change or reduce the number of members.

The following figure illustrates Indicators showing only selected data are currently shown in the graph.

  • The show all button removes the filter and shows all data.

You may also see the warning indicator:  Click it to find out what you need to do to resolve the warning.

Show all members

When you are viewing data from a higher level, you can choose to show all members. Once you have drilled down, this option is not available. When you use Show All, you are also removing the filter. 

To show all members, perform the following steps: 

  1. From the Toolbox, choose Workbooks, then choose a workbook and worksheet.

  2. Right-click an element in a chart and select Show all members of <fieldname>.
