Audit via Logs
In Kyvos Reporting, the system keeps audit logs for administration, monitoring, troubleshooting, and auditing purposes. These logs enable monitoring of reporting activities by providing detailed records of user reports and report outputs.
Configuring Audit Log Functionality
To enable and configure the audit log functionality:
Enable the Audit Log Property:
Navigate to Navigate > Administration > Configure > Server > Compliance.
Locate the Audit Log property.
Set the property to Enable. By default, this property is disabled. You will receive a prompt to enable it.
Configure Retention Settings:
Audit Log Purge Time:
Determines the number of days audit details are retained.
Default: 30 days. For example, to retain details for 45 days, set the property value to 45.
Audit RPG Purge Time:
Defines how long intermediate report files (RPG files) are retained for snapshot viewing.
Default: 7 days.
Important
If Audit Log Purge Time is less than Audit RPG Purge Time, audit information will be purged as per the log purge time, but RPG files may remain if the report is marked for longer retention (e.g., published indefinitely).
Understanding RPG File Purging
RPG Files: Intermediate files generated during report creation, enabling snapshots of the report to be viewed later.
Purge behavior depends on:
Audit RPG Purge Time value.
Report retention policies (e.g., if a report is published permanently, its RPG file will not be purged).
Viewing Audit Logs
To view logs of reports generated:
Access the Audit Log Page:
Navigate to: Navigate > Administration > Monitor > Audit Log.
Filter Logs:
Report Name: Select a specific report or choose All to list all reports.
Organization/User: Select specific organizations or users, or choose All.
Date Range: Specify the range for report execution using Date From and Date To fields.
Refresh Results:
Click Refresh to display the matching logs.
Details Displayed:
Report Name: The name of the report.
Org Name: The organization associated with the report.
User Name: The user who generated the report.
Action: The type of action performed.
Status: The status of the action.
Time Stamp: The date and time of report generation.
Snapshot: A link to the report output.
Viewing Report Snapshots
Locate the report in the Audit Log table.
Click the link in the Snapshot column for the desired report row.
If the View Options dialog appears, configure the desired options.
Click OK to view the snapshot.
The snapshot reflects the instance of the report when it was executed.
Purging Audit Logs
To delete logs:
On the Audit Log page, click Purge (located below the Refresh button).
Confirm the action to delete all records listed on the page.
Warning
This action is irreversible and will permanently remove the selected audit log records.
